The mailroom staff will be more than happy to assist you with sending your mail and packages. The OneCard is the only form of payment accepted by the mailroom.

Pricing depends on carrier, weight, and shipping speed. Faculty and Staff must provide a department number to pay for postage due.

Any prepaid package or envelope can be dropped off at the mailroom for next carrier pickup. Contact us for more information.

Supplies

The following supplies are available at the mail center for you mailing and shipping needs.

• Free USPS Priority Mail shipping boxes of various sizes including Flat Rate boxes.
• Free FedEx, UPS, & DHL shipping envelopes.

USPS

Any postage-affixed letter or package dropped off at the Mail Center by 4PM ships the same day

• First Class Mail - Any letter or envelope 13 ounces or less.
• Priority Mail - First class mail for items over 13 ounces and less than 70 pounds; mail less than 13 ounces can be upgraded to Priority. Tracking number provided.
• Express Mail - Guaranteed Overnight Service to most of the continental United States.

UPS & FedEx

Packages delivered to Mailroom by 10:30 a.m. ships the same day. After 10:30 a.m., packages will ship the next business day unless special pickup is requested. A UPS Drop box is located near Morris Infirmary for your convenience with a pickup time of 6:30PM daily.

• Ground - Transferred by truck to destination. Delivers within 1 to 5 business days depending on destination.
• 2 or 3 Day Service - Transferred by air or truck to destination. Delivers within 2 or 3 days as selected. Additional time sensitive delivery options available.
• Overnight - Delivers the next business day. Additional Time Sensitive Delivery options available.
• International - Ship to almost any country in the world. Shipping time depends on destination. Additional time sensitive delivery options available.

DHL

Letters and envelopes are picked up by DHL by request for fast domestic or international delivery of important documents. We will arrange for DHL to pickup your shipment.

• Domestic Express - Delivers the next business day. Additional time sensitive delivery options available.
• International - Delivers within a few business days
• International Express - Delivers the next business day. Additional time sensitive delivery options available.

All incoming mail must be properly addressed to assure prompt and accurate delivery.

All Haverford College students are assigned their own mailbox. Any deviation from the format below may result in a delay in processing your mail. If we are unable to determine the owner of a letter or package it will be held for one month before being returned to sender.

FedEx, UPS, DHL, and USPS deliver packages to the campus throughout the morning and early afternoon. Overnight and other time sensitive packages will be given priority processing.

Student Packages

Space in the Mail Center is limited so we ask that you arrange for your packages to arrive no earlier than 2 weeks prior to your arrival on Campus.

When the mailroom receives a package for students, an email notification will be sent informing you that the package is available for pickup. Please wait until you receive an email notification before coming to pick up a package.

Students must show their OneCard in order to pick up their packages.

Faculty and Staff Packages

When the mailroom receives a package for faculty and staff, if the package is of College related business, you will receive a notification informing you that your package will be delivered to your office. You may pick up your package in person if you wish. It is recommended that you call the mailroom first at ext. 1036 to check whether the courier already has left with your package.

If your package is a personal item, you will receive an email informing you that your package is available for pickup from the mailroom. Personal packages will not be delivered to your office. You may be required to show your OneCard to pick up a package. If you believe that there was an error in classifying your package as personal, feel free to call the mailroom at ext. 1036.

Package Storage

Due to space limitations in the Mail Center, packages/mail will be held for 30 days from the date of delivery. After 30 days all packages/mail will be returned to the sender. If you would prefer to have your items forwarded, we are happy to provide a shipping estimate. Forwarding requests can be submitted through our web form.

These procedures help ensure that the mail center routes your mail in an accurate and timely fashion. Properly following these procedures with help make sure your department is not incorrectly charged for postage.

Each department should establish a location in their office where all outgoing mail is placed for carrier pickup. All mail should be divided into the following three categories:

• Interoffice Mail: Mail that is going to another department or to a student mailbox. This mail should be bundled all facing the same direction.
• Mail to be Metered: Mail that is official College business will have postage applied and charged to your department. This mail must be sorted by size and bundled together facing the same direction. Unsealed mail should be separated from sealed mail.
• Pre-Stamped Mail: Mail that is already stamped and ready to ship should be separated from interoffice and mail to be metered.

• If you are transferring or graduating please be sure to update your address with any senders (bank statements, credit cards, medical, etc.) Central Services is unable to forward mail on your behalf.
• If you are transferring or graduating packages will be returned to sender.
• IntraCampus mail will be returned to origin department.
• Students staying at HCA during the summer automatically maintain the same mailbox and packages will be received (with email notifications) as usual.  If you are not staying on campus during the summer we are able to hold your mail until you return in the Fall.  If you would like your mail held for the summer please email hc-centralservices [at] haverford.edu

Please note: Central Services is not able to forward any mail.  Please be sure to update your address with anyone planning to send  you mail or contact Central Services to have your mail held.  If you have any questions please let us know: hc-centralservices [at] haveford.edu.

Your mail is very important to us and we want to make sure you receive it. We will make every effort to identify the owner of a package but if for some reason a package is not marked with a proper mailing address, then we may not be able to find the owner. In this case, we will hold the package for 1 month before returning to sender. If you believe that your package is in Unidentifiable Mail, come to the Mail Center and we will help reunite you with your lost package.

Pursuant to Pennsylvania law, shipping wine and other alcohol is strictly limited and must be shipped to a State Store from an approved distributor. Among other limitations, wine and alcohol cannot be shipped to individuals. Please refer to the PA Liquor Control Board site for more information.

As such, the Haverford College Mail Center cannot accept wine that has been shipped to students and others, regardless of the recipient's age. On the direction of the Dean of the College, the Mail Center is to avoid signing for and accepting such shipments and the packages will be declined. This will likely result in the return of the package to the sender. If the shipment is intended for a student, The Mail Center will notify the Dean's Office of the declined package so it can inform the intended recipient directly.
