With the recent approval of the Work Location Policy it has become more important than ever to utilize as many resources as possible to keep consistent communication and workflows throughout the college. Below are some instructions on using current college IT resources you may not be aware of! Please contact the IT Service Desk with any questions, or if you have any recommendations to add!
Avaya Office Phones
Voicemail to email:
Using the menu on your office phone you have multiple options to have your voicemails sent to your email in the form of an audio attachment. There are also options to have voicemails sent to your phone as well as your email, or to simply alert you via email that there is a voicemail for you to check. We have instructions in our Knowledge Base here on how to configure these options.
Google Suite Services
Google Calendar:
Google has recently implemented features to assist with letting your colleagues know your location as well as working schedule. Full instructions can be found at the Google Calendar help site here . There are also instructions on how to set up your Out of Office settings to alert people when you are away and automatically decline meeting invitiations.
Please be aware that anybody who has permissions to see the free/busy availablility of your calendar can see your work location. More information on how to create and share Google Calendars are available here.
Find a time:
You can also use the Find a time feature to easily see the schedule and location of multiple colleauges at once in order to schedule meetings. To use this feature:
1. Open your Google Calendar in any web browser and create a new event by using the "create" button, or selecting a new time on the calendar.
2. Select the Find a time link in the next window
3. Select the Add Guests section in the top left to add the people you are trying to schedule with and add them. You will now see all of the members schedules for that day, with your proposed timeframe highlighted, as well as their work location at the top, all in one screen!
Google Chat:
Google Chat is another great method to help with communication between colleagues. When you open your Haverford mail in a web browser you will see the options for Chat and for Spaces in the top left.
From here you can select New chat and search for the colleague to start a chat with. More detailed instructions can be found on the Send a Direct Message page.
You can also create a Google Space which helps multiple members of a team collaborate together in real time, in one messaging Space! Detailed instructions on the many uses of Spaces can be found here.
